Record the office's monthly numbers

Five numbers describe your whole book and cannot come from a sales file, so you type them once a month in the Data window.

Open Data from the menu. The Data Management window opens.

Choose the Office tab.

Check the month shown beside the tabs. It starts on the current month.

Type your figures into the card that begins Office Metrics.

There is no save button. The corner of the card reads Auto-saves, and a moment after you stop typing it shows ✓ Saved. If it reads Error saving, the number did not go through, so type it again.

What each field means

Take these from your carrier's statements. They cover every policy in your book, including ones your team did not write, which is why no upload can fill them in.

  • Households — the total number of households you insure.
  • Policy Count — the policies in force across the whole book.
  • Premium — the premium of the whole book, in dollars. It is the only field that takes cents.
  • Auto Gain — the month's net change in auto policies: gained minus lost. Type a minus sign for a losing month.
  • Fire Gain — the same for fire policies.
  • Notes — anything worth remembering about the month.

The four counts are whole numbers. A field you leave empty is saved as empty, not as zero, so skip what you do not know. A small arrow beside a label shows whether the saved figure is above or below the month before.

Change the month or fix an old one

The month picker sits beside the tabs. The arrows move one month at a time, and the word next to the month reads Current, Completed or Future. The twelve dots are the months of that year: click one to jump to it.

To correct a past month, go to it and type over the number. The new figure replaces the old one everywhere it is used. Anything you were typing is saved before the month changes.

The window stays on the month you chose if you close and reopen it. After a page reload it starts on the current month again.

Who can enter them

The owner can, and so can a Custom member whose permissions include the Data page. A Basic member has no Data entry in the menu.

Where the numbers are used

On Book, under Your book:

  • HOUSEHOLDS, POLICIES IN FORCE and BOOK PREMIUM show the latest month you entered, the change month over month and year to date, and a line for the year. Details → opens the full trend.
  • Monthly breakdown lists all five numbers month by month, as YTD or Rolling 12.
  • Year-over-Year sets each month beside the same month in earlier years, and Monthly Notes lists your notes, newest first.
  • When the current month is still empty, the section says so and links straight to this tab.

The BOOK HEALTH SCORE above them reads the same entries for six of its factors: Customer retention, Policy retention, Book premium trend, Net policy gains, Multi-line rate and Premium per household. In a year with no figures typed, those six are left out of the score, not counted as zero.

Auto Gain and Fire Gain also feed your goals. Press Goals on Home and switch to the annual view: NET GAIN/LOSS on the Auto and Fire cards is the total you have typed this year, set against your Gain / Loss (#) goal. See Understanding net gain/loss.

Also in this window

Under the metrics card, Marketing Spend lists each lead vendor's spend for the same month. An amount typed there replaces the one brought in with your lead files. The grid for every month is in Settings, on the Revenue & spend tab under Lead & ad spend.

The Team tab holds each person's quotes for the month, by product line.

Frequently Asked Questions

Do I have to fill in every field?

No. Enter what you have. An empty field stays empty, and the pages that read it show a gap or the words "not entered" for that month, never a zero.

Why does Book still say a month is not entered?

A month counts as entered once Households, Policy Count or Premium has a figure. Gains and notes on their own do not count.

How do I enter months from before we started using Agency Edge?

Step back with the left arrow, one month at a time, and type them in. Each earlier year you enter adds to the comparisons on Book.

Can I enter a month that has not ended?

Yes. The current month and future months accept numbers. Type the figure again when the final one arrives and it replaces the first.

Can the Data window open on this tab every time?

It reopens on the tab you used last. You can also choose Office for Default Data tab in Settings, on the Preferences tab.
