Create your office: the setup wizard

The setup wizard is the first thing a new owner sees after creating an account: twelve steps that build your office, then a finish screen.

Before you start

The first screen says to allow about ten minutes. Have three things to hand:

  • The sales report from your management system, saved as an .xls, .xlsx or .csv file.
  • Each person's hire date and pay.
  • Your commission paperwork, or a few sentences on how you pay.

Only step 1 is required. Every step after it can be skipped and finished later.

How the wizard is laid out

The list on the left, under Setup, shows every step. A finished step gets a tick and becomes a link back. Steps ahead of you are marked optional, and a step that depends on an earlier one stays locked until that one is done.

The top bar counts the steps (Step 1 of 13) and, once your office exists, offers Save & finish later. Every step also has Ask Vera, for questions about that step, and Back.

The steps, in order

Office. Enter Your name and Office / agency name, pick your State, and check the Timezone, which is read from your computer. Press Get started.

Sales log. Drop in your sales report. We match its columns and show what we found: sales, years, salespeople, product lines and lead sources. Import it, or press Skip, I'll upload later.

Your people. One row for each salesperson in your file. Add a position, hire date, pay type and pay. If a name appears twice or is not a real person, open the menu at the end of its row.

Give them access. Type an email for anyone who should sign in and leave Invite ticked. Everyone starts with Basic access. Nothing is sent yet.

Preferences. The product lines on your Home cards, your business hours, the office leaderboard, and whether Vera may read your data. Press Keep these to accept what is there.

How you pay. Five questions about pay periods, rates and cancelled policies, with the most common answers already chosen. Press Change on any you do differently, then Looks good.

Commission plans. Name each plan, then Attach the document or type a description under Or describe it. Either is enough.

Assign plans. Pick a plan, or No commission, for each person. Continue sends the plans to us. We build them and email you to approve, and nothing is paid until you do.

Sale config. Three lists: Product lines, Business types and Sources. Turn off what you do not sell, rename what is misnamed, add what is missing.

Revenue rates. The percent of premium your office keeps for each line, plus your Lapse rate and Carrier incentive.

Leads. Press Add a provider for each company you buy leads from, then upload the files they send you.

Goals. A policies goal and a premium goal for any line you want to track this year. Leave the rest blank, then press Finish.

Done. Press Start the tour for a two-minute look around, or Go to Home.

Step 6 shows each question as one row with its current answer.

What you can skip and finish later

Steps 2 to 12 each have a skip button, usually Skip for now. A skipped step is listed under Still to do in the wizard. After setup, the same work lives here:

Home also shows a Setup checklist with a link for each skipped step. It stays for 30 days after setup, or until nothing is left on it.

Frequently Asked Questions

Do I have to finish the wizard in one sitting?

No. Your progress is saved as you go. Press Save & finish later and you reach a page with Continue setup and Sign out. When you sign back in, the wizard opens at the step where you stopped.

Why is a step locked?

Two steps depend on an earlier one. Assign plans needs Commission plans, and Revenue rates needs Sale config. The list on the left says what a locked step needs. If you skip the earlier step, the locked one is skipped with it.

When are my team's invitations sent?

Not at step 4. They go out when you leave the last screen of the wizard. Anyone without an email can be invited later from the Team Members tab in Settings.

Can I change my answers after setup?

Yes. The table above shows where each step's settings live after setup.
