Upload your first sales file
Updated
A sales file is a spreadsheet of the policies your office has written, and uploading one fills Home, Sales and the rest of Agency Edge with your numbers.
Before you start
The upload takes .xls, .xlsx and .csv files of up to 50 MB. You can add several files at once, and they are processed one after another.
Your file needs a column for each of four things: the product, the customer's name, who wrote the sale, and the date it was written. The headers can say anything, because you match them to Agency Edge's fields before the file goes in.
Add your team first if you can, so the names in the file have someone to match.
Upload the file
Check the column mapping
Agency Edge reads your headers and matches them to its fields on its own. A line beside Review mapping gives the result. Everything needed is mapped means you can upload straight away. If a required field has no column, the button reads Fix mapping and Upload & Process stays off.
Press Review mapping to see every match. Agency Edge's fields are on the left and your columns are on the right.
- Required — Product, Name, Written By and Written Date.
- Optional — Policy Type, Premium, Issue Date, Business Type, Source Type, Notes and a few more. The import works without them.
To change a match, click the column beside a field and choose another. Columns that nothing uses sit at the top under Not imported from your file. Click one to give it a field.
When the top line reads Ready to import, press Import. That closes the mapping window and keeps your choices. The file itself goes in when you press Upload & Process. The mapping is saved for your next sales file.
What the numbers mean
The finished file appears under Uploaded today with a count for each outcome:
- new — sales added to your log.
- updated — sales that were already there and have changed.
- already in your log — sales that were already there, with nothing changed.
- identical in this file — rows the file repeated.
Row details lists every row and what happened to it.
This is why uploading the same file again is safe. Its sales are counted as already in your log and nothing is added twice, so overlapping files are safe too. A sale already paid through Agency Edge is locked, and uploading it again changes nothing.
When a name is not on your team
Each sale belongs to the person in its Written By column. A name that matches a team member exactly is linked automatically. A different spelling, such as "A. Lovelace" for Ada Lovelace, still imports and still counts for the office, but it is nobody's production until you map it.
The spelling is saved for that person and the sales move to them. Pick + Create New Team Member for someone you have not added yet, or Not a person for split or house sales. Our article on sales name mapping covers the rest.
What appears on Home
Home refreshes when the upload finishes. It shows one month at a time, starting with the current one, so use the arrow beside the month name to step back to older sales. For each month you get POLICIES and PREMIUM totals, a Top Producers table, and a sentence at the top on how the month is going.
Frequently Asked Questions
Which file types can we upload?
Excel files (.xls and .xlsx) and .csv files, up to 50 MB each. If a file is larger, save it as a .csv, which is much smaller, or split it by year.
Do our column headers have to match Agency Edge's names?
No. Agency Edge matches the headers it recognizes, and you can set any match yourself in the mapping window. The mapping is remembered for the next file.
Can we upload several years at once?
Yes. Add the files together or one at a time. They are processed one after another, and sales already in your log are left alone.
Why is someone lower on Top Producers than we expected?
Some of their sales may sit under a spelling of their name that is not mapped yet. Check Unmapped Sales Names in Settings, Team Members.
