Upload and manage sales files

This is the longer guide to sales files: what a file can carry, how your column mapping is reused, what uploading the same sales again does, and how to review or delete an upload.
Where uploads happen
Click Data in the menu to open the Data Management window, choose Upload Data, and set Data type to Sales Log. Add one file or several, then press Upload & Process. Several files are processed one after another.

What a sales file can carry
Press Review mapping to see Agency Edge's fields beside your columns.
- Required — Product, Name, Written By and Written Date. While one of them has no column, the button reads Fix mapping and the upload stays off.
- Optional — Policy Type, Premium, Issue Date, Chargeback Date, Business Type, Source Type, Issued Premium, Zip Code, Review Requested and Notes.
Map Policy Type and Premium whenever your file has them. Both help tell one sale from another.
Your mapping is remembered
Every upload saves the mapping it used. When the next file has the same headers, they arrive already matched, and the line beside Review mapping reads Everything needed is mapped and adds that your saved mapping is in use.
The three-dot menu at the bottom left of the mapping window holds Reset to automatic, which undoes the changes you made in this window. When a saved mapping is in use, the menu also offers to forget it. Press Forget to confirm, and the next file is matched from scratch.
What uploading the same sales again does
Agency Edge recognizes a sale by six things together: product, name, written by, written date, policy type and premium. A row that matches a sale in your log on all six is that sale, so overlapping files never add it twice.
The Result column under Uploaded today counts each outcome:
- new — added to your log.
- updated — already there, and the file changed something else about it, such as an issue date.
- already in your log — already there, with nothing changed.
- identical in this file — rows the file itself repeated.
If one of the six differs, the row comes in as a new sale. A file with a corrected premium adds a second sale beside the first. To correct a premium, edit the sale instead.
A sale already paid through Agency Edge is locked, and uploading it again changes nothing.
Rows left out and uploads that fail
Press Row details on an upload to see every row and what happened to it. An Updated row opens to show each change, old value beside new. Excluded lists the rows your file repeated, each marked Identical in this file. Rows with nothing in them are skipped.
A file that cannot be read never starts. The preview says so, for example This file has column headers but no rows. Nothing to import., and Upload & Process stays off. If an upload fails, the Result column says so in words, such as Didn't import. Nothing was changed.
Find an upload later
Uploaded today shows only today's files. For older ones, press Full upload history, or open Settings, then Advanced, and choose Sales under Upload History. Each file has:
- Uploaded · Data Range — the day you uploaded it and the dates of the sales inside.
- File Name and Records, with the same outcome counts.
- Status — Done, Processing or Error.
The eye button on a row, View details, opens the same row-by-row view.
Delete an upload
Deleting an upload removes the file from the list and the sales it brought in, along with their links to internet leads. It can also remove sales that were already in your log when this file matched or updated them, so do not delete a second upload of the same sales just to tidy the list. A delete cannot be undone, though you can upload the file again.
An upload that holds a sale already paid through Pay Team cannot be deleted, and nothing is removed until that pay run is undone.
Frequently Asked Questions
Why did one sale come in twice?
Something in its six identifying fields changed between files, most often the premium or the spelling of a name. Delete the copy you do not want from the Sales Log.
Why is a producer missing sales after an upload?
The name in Written By did not match anyone on your team. Map it under Unmapped Sales Names in Settings, Team Members. Our article on fixing a sale on the wrong producer has the steps.
Can a team member upload files?
Basic members have no Data in their menu. A Custom member can upload once you give them the Data page.
