Upload internet leads

Updated

A leads upload brings one vendor's file of internet leads into Agency Edge, where each lead can be matched to a sale.

Start an upload

Click Data in the menu. In the Data Management window, choose Upload Data.

Under Data type, choose Internet Leads.

Pick the vendor under Lead Provider, then press Data Leads or Live Calls under Lead Type.

Add the file and press Review mapping. When the mapping is right, press Import.

Press Upload & Process.

Every lead is saved under that provider and lead type, except that a row whose Lead Profile contains the word call or calls is saved as Live Calls. Each lead provider sits on one of your sources.

Every field in the mapping window

Under Required:

  • Received Date — the day the lead came in.
  • Who the lead is — at least one of Lead Name, Phone, or First Name with Last Name.

Under Optional:

  • Zip Code — tells leads apart and helps match them to sales.
  • Retail Cost — what the vendor charged, before any subsidy.
  • Subsidy — the part of the cost a carrier covers.
  • Net Cost — only when the file already holds your out-of-pocket cost. Unmapped, it is retail cost less subsidy.
  • Product Line, State, Lead Profile, Current Insurer and Call Duration.
  • Date of Birth — kept as the lead's age.
  • Return Status and Return Details — see Credits and returns.

A lead's state comes from its zip code. The State column is used when the zip gives none. Columns no field uses are listed under Not imported from your file. Click one to use it.

A mapping is saved for each provider

The mapping is saved when the file uploads and is applied to that provider's next file. In the mapping window, the three-dot menu holds Reset to automatic, which drops the changes made in this window, and a line beginning Forget saved, which makes the next file map from scratch.

What a row needs to be imported

A row with a name is imported. A row with a full phone number and no name is imported as an unknown caller. A named row also needs a zip code, unless the file carries the vendor's own ID for each lead. Other rows are left out.

Upload a file again

Agency Edge knows a lead it already holds by its name and zip code, its provider and its received date. A file can be uploaded again, and the result says what happened to its rows:

  • imported — new leads.
  • updated — leads already there whose row changed, such as a new cost or return status.
  • already in your log — leads already there, with nothing changed.
  • blank rows — rows that were left out.

A value you corrected on a lead's own row in the Leads log is not overwritten.

How duplicates are treated

A row repeated inside one file is imported once. When the same name and zip code arrive again from another vendor, or on another date, both leads are kept and the later one is tagged DUP in the Leads log. A duplicate stays in the log's counts, is left out of the Conversions totals, and adds nothing to the vendor's imported spend.

Files without a cost

When a file maps neither Retail Cost nor Net Cost, its result asks you to add the cost under Office costs. That opens the Office tab, where Marketing Spend has a box for each vendor's spend that month. An amount typed there replaces the cost imported from files. The whole year is in Settings, under Revenue & spend, then Lead & ad spend.

Uploaded today and the full history

Uploaded today, under the upload box, lists each file uploaded today with its result. Row details opens a file row by row, on tabs such as New, Updated, Duplicates and Already in your log, and an updated row opens to show each change.

Full upload history opens Settings on Advanced, with Leads chosen under Upload History. Each file shows when it was uploaded, the dates its leads cover, its Provider, Type, Records and Status.

Delete an upload

Open Settings, choose Advanced, then Leads under Upload History.

Click the bin icon at the end of the file's row.

In Delete this upload?, press Delete.

This removes the file from the history with every lead that file touched: the leads it imported, and the leads it updated or found already in your log. Their links to sales go too, and it cannot be undone. If one file was uploaded twice, deleting either copy removes those leads, and uploading the file again brings them back.

Frequently Asked Questions

A vendor changed the columns in its file. What do we do?

When something required has no column, the button beside the file reads Fix mapping. Open it, choose the new columns and upload.

Why does a file read 0 imported?

None of its rows was a new lead, a changed lead or a lead already in your log. Most often the rows are counted as blank rows. Check that Zip Code and the name fields point at the right columns.

Who can upload leads?

The owner, and a Custom member the owner has given Data. A Basic member has no Data in the menu.
