Team salaries and Employee ROI
Updated
Each person's base pay is entered with a start date, and Employee ROI sets that cost against the revenue their sales bring the agency.
Where pay is entered
Pay lives on the Compensation tab of a person's edit window.
The pay types are:
- Salary — an Annual Salary.
- Hourly — an Hourly Rate and Hours Per Week. The window shows the yearly figure as rate × hours × 52 weeks.
- Fixed Rate — an amount paid Weekly, Monthly or Quarterly. Tick Add a service fee (paid to a third party) for a staffing or placement fee. It counts toward the person's cost in Employee ROI and is not paid to them.
- Commission Only — no base pay.
The first entry's date is filled in with the hire date. Each pay entry saves on its own, so this tab has no Save button at the bottom.
When you add someone with the guided Add Team Member window, its Pay step asks for the same Pay Type and amount, starting on the hire date.
Record a raise
Once a person has pay on file, the button reads Record Pay Change. Enter the new rate and the Effective Date it starts, then press Save Pay Change. The date starts empty and cannot be earlier than the hire date.
Each change adds a row to Compensation History, and the older rows stay. Paid now, above the list, shows the newest rate that has already started, with its Annual, Monthly and Every 2 weeks amounts. A rate dated in the future does not replace it until that date arrives.
To fix a typing mistake, point at the row and press correct entry. Use it for mistakes only, not for a raise.
See the whole team's base pay
On Settings › Team Members, press Team pay. A small panel adds up base pay for everyone who is Employed and paid by Salary, Hourly or Fixed Rate, and shows it as Annual, Monthly, Every 2 weeks, Weekly and Daily amounts. Commissions and bonuses are not included, and the owner is left out. The panel is closed again each time the page loads.
Employee ROI
Open Team from the menu, click a person, and choose the Employee ROI tab. It needs a hire date, pay and a commission plan. The chips under the name in the edit window, Hire date, Pay and Commission plan, show which is missing.
What the numbers mean
- Cost to the agency — base pay, commission and any service fee. Base pay for a month the rate covers in full is the annual amount ÷ 12; a month it covers only partly is charged at annual ÷ 260 for each business day worked. Commission is the figure Payouts shows for the period, whether or not you have run pay for it. Cost is recorded, never estimated.
- Revenue to the agency — new business plus renewals: issued premium × your office's rate. A sale counts in the month it issues, not the month it was written. Revenue is modelled from your office's own rates; it is not money collected.
- Net to the agency — revenue minus cost for the period picked at the top right, such as All time or Last 12 months.
- The line under Net reads Broke even with a month: the first whole month from which net since hire never drops below zero again. Months are counted from the hire month.
THE MATH lists each year or month with Revenue, Cost, Net and Net to date. The month in progress has its own row but stays out of the totals until it ends. For someone who has left, cost stops on their last day while revenue keeps going, because their book keeps renewing.
Who can see it
The owner sees all of it. A Basic member has no Team page. For a Custom member, Compensation and Employee ROI are separate ticks under Team in their permissions, and both stay off until the owner ticks them. Data then sets whose figures they see: Just them, Specific members or Everyone. Entering or changing pay needs the Compensation tick.
Frequently Asked Questions
Should I change the old entry when someone gets a raise?
No. Press Record Pay Change and give the new rate its own Effective Date. The old rate stays in the history, so earlier months keep the cost they had.
Why does Employee ROI say there is no pay on file?
The person has nothing in Compensation History, so their cost cannot be worked out. Press Add pay on that message, or open their Compensation tab and enter their starting pay.
Can a team member see their own Employee ROI?
Only if the owner makes them Custom, ticks Employee ROI under Team, and sets Data to Just them.
