Invite and set up your team

Each person in your office is a team member in Agency Edge, and each can have a login that shows only what you choose.

Add someone with the guided window

The Add Team Member window walks through everything a new person needs. Only their name is required, and nothing is saved until you press Add team member.

Open Settings from the menu and choose the Team Members tab.

Press Add Team Member.

On Basics, enter the Full Name. Email Address, Position and Hire Date are optional. Turn Salesperson off for service staff.

Press the button that begins Next:, or Skip to leave a step for later.

On Review, check each line, then press Add team member.

The steps between Basics and Review are:

  • Pay — what they earn before commission, by Pay Type: Salary, Hourly, Fixed Rate or Commission Only. It needs a hire date.
  • Schedule & time off — their schedule, birthday and time-off allowances.
  • Commission — the plan they start on. Service staff skip it.
  • Activities — what they log each day.
  • Invite & access — whether to email them an invite.

Add member on the Team page opens the same window.

Give them a login

A team member cannot sign in until they accept an invite. On Invite & access, Send them an invite is ticked whenever you entered an email, and the invite goes out when you press Add team member.

To invite someone later:

Open Settings, then Team Members, then Permissions.

Press Invite user and pick the person.

Check the address under Send the invite to and press Send invite.

The email holds a link that works for 14 days. A new person presses Create Account, sets a password and presses Create Account & Accept. Someone who already uses Agency Edge presses Sign In, then Sign In & Accept.

Until then, the Login column on Permissions reads Invited — not signed in yet. From that row you can send the invite again, stop it with Cancel invite, or redirect it with Change email.

What each person can see

  • Owner — one per office. The owner sees everything and is not listed on Permissions.
  • Basic — where every invite starts. It is a fixed set: Home, Sales, Calendar, their own pay on Payouts, Leaderboards if your office shares its board, Help & Feedback, and Settings with only Profile and Preferences. They can also use Record a Sale and Log Activity.
  • Custom — you pick the pages, tabs and data.

To change someone's level, press Edit on their Permissions row, choose Basic or Custom, and press Save permissions. On Custom, tick the pages they get. Where a page shows people's numbers, set Data to Just them, Specific members or Everyone. Start from Basic fills in what Basic has.

Edit a team member

Press Edit on a person's row in Team Members. The window has four tabs: Profile, Schedule & time off, Compensation and Commission.

Profile and Schedule & time off save with the Save button at the bottom. Pay entries on Compensation and plan assignments on Commission each save on their own. Use Record Pay Change for a raise.

If you change the email of someone with a pending invite, the window offers Re-send to the new address.

When someone leaves

Mark them as Departed:

Open their Edit window. On Profile, change Status from Employed to Departed.

Enter the End Date, their last day worked.

Press Save.

The Team page does the same from Mark as departed.

A departed person keeps their history, sales included. What changes:

  • Their login no longer opens your office.
  • Their pay stops after the end date, and their commission plan ends on it.
  • They stop counting as active on the Team page and in office figures.
  • They leave the Team Members list until you press Show departed.

If they return, set Status back to Employed. That does not bring their login back, so send a new invite with Invite user.

Frequently Asked Questions

Does someone need a login to appear in our numbers?

No. Their sales count once the name in your sales file is matched to them, whether or not they ever sign in.

How many people can I add?

As many as you have. Agency Edge doesn't charge per team member.

The invite expired. What now?

After 14 days the Login column reads Invite expired. Send it again from that row, and the new email carries a fresh link.

Can someone other than the owner invite people?

Yes. Make them Custom and tick Team members under Settings tabs. That tick lets them invite people and change anyone's permissions except the owner's.
