Sale Config: what your team fills in on a sale

The Sale Config tab in Settings decides which fields the Record a Sale window asks for, which of them are required, and what its lists offer.
Open Sale Config
The tab holds one card, Sale Form Fields. Each field is a tile, in the same order as the Record a Sale window, in two groups: Customer, asked once for the sale, and Each policy, which repeats for each product sold.
The fields
A red dot marks a required field, (optional) marks an optional one, and a lock marks a field that is always required.
Under Customer:
- Written By — always required. Credit, leaderboards and pay all need it.
- First Name and Last Name — required to begin with. You can make one optional but not both: at least one customer name is always required.
- Zip Code — required to begin with. It fills in city, county and state. Sales without it are left off the map and state reports.
- Written Date — always required. Every report, goal and pay period is dated by it.
- Source Type — required to begin with. Sales without a source show as No source in Marketing ROI.
Under Each policy:
- Product — always required. Office revenue and commission rates are set per product.
- Policy Type — required to begin with. Without it, commission uses the product's rate.
- Business Type — required to begin with.
- Written Premium — always required. Revenue and commission are figured from it. Products marked as needing no premium skip it.
- Notes — optional to begin with.
Change a field
The change saves at once. A locked field shows its reason, and the choice is greyed out.
Add a field
Press Add a field beside Customer or Each policy, whichever the question belongs to.
The new field appears on the sale form in the group you chose. From its pencil you can rename it, change its type or order, or press Hide from the form to stop asking while keeping past answers. Delete takes it off the form and the Sales Log; sales already saved keep what was typed. An office can have up to 25 fields of its own.
The lists behind the form
Four fields are lists. Press Manage on the tile to open the list:
- Product and Policy Type open Policy Settings. Each product line has an Enabled tick and a Home card tick. A line that is not enabled is left off the sale form. Open a line to add or rename its policy types, or press Turn off on one. Add Product Line adds a line. The built-in lines can be switched off but not deleted.
- Business Type opens Business Types.
- Source Type opens Sources, one place for every sale source and lead provider. A row's menu has Rename, Merge into..., Turn off, Mark as lead provider and Track marketing spend. A lead provider shows in the leads upload and in marketing spend.
A policy type, business type or source that is turned off is hidden from the sale form and the filters, and kept in its list under Turned off.
The Enabled and Home card ticks are also in Settings › Preferences › Display, under Product Lines.
Who can open the tab
The owner. A Custom member with Team members ticked under Settings tabs also sees Sale Config, but without the pencils, Manage or Add a field. Basic members do not have the tab.
Frequently Asked Questions
Can I remove a built-in field?
No. The built-in fields stay on the form. You can make most of them optional, and you can hide or delete only the fields you added.
Where is the issue date?
Sale Config has no issue-date field and no switch for one. Written Date is on the form and always required. A sale gets its issue date later, when it is marked issued on the Sales page. Which of the two dates sets the commission rate is a Payouts setting called Rate Lock, not part of Sale Config.
Does making a field required change my old sales?
No. The rule applies to sales recorded from then on. A sale that already lacks the field can still be edited.
What happens to past sales when I turn a source off?
Nothing. The sales keep their source. The source stops being offered on the sale form and in the filters, and an upload that carries sales for it turns it back on.
