Chargebacks and carryovers

A chargeback takes back commission on a policy that cancelled, and a carryover is pay that lands in a later period than the one the sale was written in.

Record a chargeback

A chargeback starts on the sale, and only an issued sale can have one.

Open Sales from the menu and choose the Sales Log tab.

Find the policy and press its green Issued status.

In Record Chargeback, enter the Chargeback Date. It cannot be before the issue date or after today.

Press Record Chargeback.

The status changes to Chargeback with the date. If that was a mistake, press the status again to open Reverse Chargeback. A reversal is refused once money has been recovered for it.

How much comes back

Chargeback Recovery Method in the Payout Settings window decides the amount. Pay periods and the payouts start date shows how to open that window.

  • Prorated is the one tagged Recommended. Only the unearned part comes back. A 6-month policy cancelled after 3 months kept half its term, so half the commission comes back.
  • Full Chargeback takes back all of the commission, however long the policy was active.

The commission is the base commission the person's plan paid on that sale. A bonus the policy had already been paid on can come back with it. Some bonus types are never taken back, among them streak, team, activity and milestone bonuses.

Two limits apply.

  • Only what Agency Edge paid can come back. A sale that no Pay Team run paid, or one issued before your payouts start date, has nothing to recover.
  • A sale charged back before any run paid it is left out of pay, so there is nothing to take back later.

Where it shows on pay

Recording a chargeback takes nothing out of a paycheck. The amount goes into that person's chargeback balance and waits until you apply it.

  • On Payouts, the current period shows Chargeback Balance beside the person's earnings whenever they owe something. Press it to open Chargebacks, which lists each policy under Active Chargebacks with its Orig. Commission, Recovered and Remaining.
  • In the Pay Team window, each person has a Chargeback box with their balance under it. Type what to take back in this run. Net is Earned less that amount.
  • A run takes back no more than the person earned in it, and no more than they still owe. The rest stays in the balance for a later run.
  • Once that period has ended, it shows Chargeback applied with the date of the run.

Carryovers

Pay moves into a later period in three ways. Each one is on screen, so there is no list of your own to keep.

  • A sale that has not issued. With When Payouts Pay set to When Sales Issue, nothing pays until the policy issues. Until then the sale is in the Waiting to issue band of the current period, with what it would pay at today's rate, and it is counted in no total.
  • A sale that issues in a later month. A sale written in September that issues in October is paid in October. It is in October's Next paycheck, and the Base Commission row adds a line such as "$87.75 carried from September (2 sales)". A bonus earned in the earlier month keeps a row of its own, tagged with that month.
  • An earlier month that was never paid. Under End of the calendar month, money earned in a month that no run has paid stays with that month. Once your office has run Pay Team, an amber chip on the current period names that month and its amount, and Pay Team offers it along with the current period.

Your part is to record the chargeback and choose how much to apply in each run. Agency Edge works out the amounts, keeps the balance, and puts a waiting sale into the paycheck of the period it issues in.

Frequently Asked Questions

Does a chargeback come out of the next paycheck by itself?

No. It waits in the person's balance until you enter an amount for them in the Pay Team window.

What if someone owes more than they earned?

The run takes back no more than they earned in it. The rest stays in their balance, and you can apply it in a later run.

Why does a cancelled policy show nothing to recover?

Agency Edge only takes back what it paid. If no Pay Team run paid that sale, or it issued before your payouts start date, there is nothing to recover.

We changed the recovery method. Do older chargebacks change?

Once Pay Team has run, a change of method is scheduled for the next 1st. Chargebacks dated from that day use the new method, and earlier ones keep the old one.
