Digest emails
Updated
A digest is a scheduled email of your office's numbers, sent to the people you choose on the days and at the time you set.
Create an email
Only the owner can set up digests, and an office can have several.
The template goes out on weekdays at 7:00 AM, covers yesterday and is addressed to everyone with an email address. A blank one starts with two sections and nobody to send to.
A new email is on from the moment you create it. The card under the name reads Sending, and its switch pauses the email while you set things up. Every change saves as you make it.
When it goes
Under How often, choose one:
- Daily, on the days you tick under Sends on these days. It starts as Monday to Friday.
- Weekly, on one day of the week.
- Monthly, on the First day or the Last day of the month.
Send at sets the time, on the quarter hour, by your office's own clock and time zone.
Covers picks the period. A finished one reads Yesterday, Last week or Last month. One still in progress reads Today so far, This week so far or This month so far.
The sections
Under What's in it, tick what the email carries. Each ticked section shows a live preview built from your own numbers.
- Vera Summary: up to three sentences that open the email, starting "Vera's read:". They recap the sections below and, when you have monthly goals, where the month stands.
- Production summary: a row for each producer who wrote business and a column for each product line, with Total, Premium and an Office total row.
- Monthly summary: the same table for the month so far. Detail can cut it to Totals only. A monthly email leaves this section out, because it would repeat the table above.
- Lead conversion: Leads Received, Leads Converted and Policies Written, then Conversion % (Lead) for each provider.
- Recent sales: one row per policy. Show sets Whole office or Each person's own. Weekly and monthly emails list 15 at most and say how many there were.
- Lead spend & ROI: tagged Sensitive. Lead Spend, Premium Generated and Office Earnings, then Cost / Converted Lead and Cost / Sale for each provider.
A section with nothing to report stays in the email and says so, naming the day.
Who gets it
Under Who gets it, tick the team members to send to. A person needs an email on file, and someone who has left is not listed.
Everyone is sent the same sections, but each copy holds only what that person may see in the app:
- The owner's copy has everything.
- A Basic member has no Leads page, so their copy leaves out Lead conversion and Lead spend & ROI.
- A Custom member limited to certain people's numbers gets those people's numbers.
- Vera Summary is written for each person from their own copy.
When a copy will be cut down, a note under the list says how many recipients see a reduced copy.
Check it, pause it, delete it
- Preview: under Check it, choose a recipient and press Preview. Their copy opens in a new browser tab.
- Send test to me sends that person's copy to your own address, never theirs.
- To pause, flip the switch in the On column of the list. The row reads Paused and keeps its sections and recipients.
- Duplicate and Delete… sit behind the three dots on a row. Deleting is permanent and removes the record of what that email sent. Emails already delivered are not affected.
The email has no unsubscribe link. Its Manage these emails link opens this Settings tab, which only the owner can see, so a team member asks the owner to untick them.
How a digest differs from the weekly brief
A digest is tables of numbers, emailed on your schedule to the people you pick. Vera's weekly brief is a chat. It lands in the owner's chat list on Monday morning, and the owner can ask questions under it. See Ask Vera.
Frequently Asked Questions
Why did nobody get the email?
Look at its row in the list. Paused means it is switched off. A row with no recipients says it won't send and offers Choose people.
Can I send one right now?
Not the real one. Send test to me sends a copy to you alone, with [Test] at the start of the subject.
Will a producer see everyone's sales?
In Production summary, yes, when they can see the office's sales in the app, as a Basic member can. Set Recent sales to Each person's own to list only their own policies there.
